One of the biggest challenges at project inception is requirements creep. Taking the time to separate requirements into “must have” and “nice to have” categories is essential to avoid wasting time later. Think of a big project as about eating an elephant (figuratively speaking, of course). You can't feasibly do it in one go, so proper planning with breakdown of the project into smaller tasks and subtasks would keep everyone not only in check but will also give peace of mind. It can be hard to decide how to tackle big problem straight away, so by splitting into smaller pieces you and your team can make their way around it.

Being a communications Coach I would like to amplify the importance of communication in team work. If proper channels are not installed in place for communication/ reporting a task completed then the people tend to move in circles- is this task done? Who did this? Who is to be held responsible for any changes in a task? When is the deadline for completion. So to avoid any communication lapses a whatsapp group needs to be maintained involving the team members mentioning clearly the TasksDeadlinesPerson responsible Meeting dateEtc.Or for that matter calendly can also be installed to meetings and follow ups and view the tasks and their updates at a glance We are blessed with technology, and need to use it wisely.

I find it critical to remember, and remind others, that delivering a message (email, status report, conversation, etc.) does not guarantee effective communication. It's imperative to confirm understanding through a follow-up method. Message delivered does not equal message received and it's incumbent on sender to ensure communications.

A lot of times meetings could be omitted, as they perceived time consuming and tiring. Ensure the meetings happen only when they are necessary (e.g. issue can't be individually or asynchronously). If they do happen have a prepared agenda with some bullet points, as well as, ensure there is a person who runs the meeting. It's important to steer the conversation in the right direction, so that people don't go too much off track. Keep the time, most of the times during the meeting the conversation may ended up in a loop, so it is important to get out of it without wasting precious time of all team members.

A great litmus test for "Do we need a meeting?" are as follows:1. You have an issue that cannot be resolved quickly via asynchronous communication, including email, voiceover screenshots, and/or video. If it is a "report out" or "update", it doesn't need to be a meeting. 2. There is a conflict or misunderstanding that needs to be resolved. Because communication is only about 10% the words (the rest is tone of voice and body language), attempting to resolve conflicts asynchronously is ineffective at best, and often can cause more conflict. It is better to be proactive and get everyone on the same page via a meeting.3. There are clear goals and an agenda for that meeting. A meeting without a clear agenda is usually a time-waster.
